Job Description Summary
The Life Sciences Business Office Manager position requires a candidate who exhibits an engaged and responsible attitude and possesses the ability to work professionally with faculty and staff.
We are seeking a candidate possessing a pro-active work style with strong follow-up skills and the ability and desire to add value to the sponsored research enterprise. This position requires
the ability to work well under pressure. The successful candidate should clearly demonstrate attention for detail, highly effective interpersonal skills and the ability to enforce grant
guidelines with constituents in a professional, diplomatic and assertive manner.

Candidates who can take ownership of the grants process and react quickly in a deadline-driven environment is highly preferred. A successful candidate will possess an ability to switch gears
depending on project deadlines and an ability to work well with individuals of diverse backgrounds and skill sets who represent different areas of the School. The ability to work in a
collaborative and responsive manner to answer questions and resolve discrepancies as well as to remain flexible is also required.

Responsibilities: The successful candidate for the Grants Manager position will have the ability to work independently, the desire to train the Grants Coordinator, and will have the following
responsibilities: Provide assistance with proposal development, budget development and related pre-award issues for a diverse sponsor portfolio. Assist with proposal submission (electronic and
paper submissions) and follow-ups as needed. Apply knowledge of OMB Circulars A-21 and A-110 and A-133. Manage post-award processes including monitoring and review of all charges to sponsored
projects, the reconciliation of accounts, and production of monthly financial reports for Principal Investigators, including fund projections etc. Meet with Principal Investigators to discuss
financial issues with their research programs and to secure their approval (signature) of reports. Manage all grant related activities including payroll, grad funding, reimbursements, etc.

Job Description

Duties/Job Responsibilities:

  • Manage post-award processes including monitoring and enforcing compliance with sponsor guidelines, and review of all charges to sponsored projects, the reconciliation of accounts, effort
    reporting and production of monthly financial reports for Principal Investigators, including fund projections, etc.
  • Provide assistance with proposal development and related pre-award issues for a diverse sponsor portfolio. Apply knowledge of Office of Management and Budget (OMB) Circulars A-21, A-110
    and A-133.
  • Routinely meet with Principal Investigators to discuss financial issues with their research programs and to secure their approval (signature) of reports.
  • Train and collaborate with other Financial Administrative Coordinator or Business Administrator B in the office.
  • Manage all grant related activities including payroll, grad funding, reimbursements, etc
  • Assist with proposal submission (electronic and paper submissions) and follow-ups are needed
  • Other duties and responsibilities as assigned

Qualifications:

A Bachelor’s degree and 3-5 years of pre- or post- award experience, or an equivalent combination of education and experience, are required. Proficiency in Microsoft Excel, Adobe applications,
Business Objects, etc. Excellent critical thinking, analytical, verbal and written communication and the ability to be comfortable working in a frequently changing environment, and to function
both independently and as part of a team are all critical skills. Familiarity with UPENN-sponsored research policies and related financial systems is a plus.

Pay Range
$51,824.00 – $85,000.00 Annual Rate
Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market
factors and grade profile.
